A heat pump is the only major appliance in your house that never gets a season off. Your air conditioner coasts half the year in most of the country. Your furnace idles through July. The heat pump heats in January and cools in July and quietly reverses itself in between, which is exactly why its maintenance schedule looks different from the HVAC advice your parents got.
Trane says you don't need any special skills to take care of your air source heat pump, and on that it is correct. Most of the schedule below is a filter, a garden hose, and ten minutes. There is one task that federal law reserves for certified technicians, and we'll get to it. This guide covers what you do and how often, what the pro does and why, what the visits cost, and what skipping all of it actually costs. Our heat pump guides cover the rest of the ownership picture.

Why the Duty Cycle Changes Everything
A conventional split system is two appliances pretending to be one: an AC that works in summer, a furnace that works in winter. A heat pump is a single machine doing both jobs with the same compressor, the same coils, and a reversing valve that switches the refrigerant loop's direction. The wear doesn't pause between seasons because the work doesn't pause between seasons.
That's the argument three of our sources make for the stricter schedule. HVAC.com: "If you operate your heat pump system year-round, maintenance should be performed twice a year β once in the springβ¦ and again in the fall." Bryant books its service windows around that reality, spring (MarchβMay) and fall (SeptemberβNovember). Trane wants a dealer checkup "in the fall before winter weather arrives and in the spring before AC season."
The dual-duty logic has a technical wrinkle worth knowing before you hire anyone. Bryant quotes dealer Mike Lea on a point most maintenance articles skip: because the reversing valve changes how the system runs, the refrigerant charge is checked differently by mode β "they do have different charge levels in each mode." A tune-up that runs the unit in cooling only has tested one of your heat pump's two personalities. More on that in the tune-up section.
What You Can Do Yourself: The DIY Tasks
Here is the homeowner schedule in one table, with the source behind each frequency. The filter row has a genuine dispute inside it, so it gets its own subsection right after.

The filter dispute, printed honestly
Every source agrees the filter matters. They do not agree how often to change it, and the disagreement is real, not cosmetic:
- ENERGY STAR says inspect and clean or replace the filter "once a month."
- Trane says every 30β90 days, noting thin filters need it more often than thick media.
- PickHVAC says 1-inch filters every 30β60 days, media filters every 3β6 months.
- EnergySage splits by type: washable mini-split filters cleaned monthly, 1-inch disposables replaced monthly, 4β5-inch media filters up to six months.
- HVAC.com says every 2β3 months "or according to the manufacturer's guidelines."
- FilterBuy says every 1β3 months.
The resolution all of them imply is the same one: interval depends on filter thickness, pets, and how dusty your house is, so check monthly and replace when dirty. The 30-day figure is the floor for thin filters, not a rule for a five-inch media filter clogged at week four.
The outdoor unit, minus the drama
Three things keep the outdoor unit breathing, and none require a toolbox.
Give it room. Trane says keep shrubs and plants "at least 2 ft. away from the heat pump on all sides," and PickHVAC says the same 2 feet. EnergySage's 18 inches is the outlier β lower number, same idea. If you want one number to obey, obey the manufacturers' bigger one.
Keep it elevated and dry. Trane's manual guidance is that heat pumps should sit 4 to 8 inches above grade for drainage, and should not sit below a leaking gutter, because the water that collects there freezes on the coil and restricts airflow. A gutter drip you ignore all October turns into an ice sculpture in January.
Rinse the coils when they look dirty. EnergySage's method: shut off power to the outdoor unit, then gently rinse coils and fins with a garden hose. PickHVAC adds the direction β hose from the inside out, pushing debris back the way it came. Trane keeps it simplest: clean the outdoor coils whenever they appear dirty. If you live near salt air, PickHVAC also flags coastal fin corrosion as its own slow killer; a rinse schedule is cheap insurance.
Indoors, the free items are keeping registers and returns open and clear of furniture (Trane) and setting the thermostat like the machine is a heat pump, not a furnace. PickHVAC's warning about setbacks applies to heat pumps specifically: a large setback makes the home come back cold enough that the system grabs auxiliary electric resistance heat, "which raises costs." Small 3β5Β°F setbacks only. And if you find yourself running on emergency heat routinely, don't β EnergySage calls electric resistance heat "the least efficient option" and says regular emergency-heat use is "a signal to call a technician."
One more DIY-able item people forget: the condensate drain. EnergySage lists cleaning the condensate pan and drain line among tasks owners can handle, and gives the flush recipe β a quarter cup of bleach or vinegar followed by two cups of water. A clogged drain isn't just messy; EnergySage notes it "can trigger an automatic shutoff," which is how a five-minute clog becomes a house with no heat in February.
The Seasonal Rhythm
The sources' calendars converge on two pro visits and a winter habit.
Spring (MarchβMay, per Bryant). Pre-cooling-season tune-up. ENERGY STAR's spring check is the cooling-mode one: clean the evaporator and condenser coils, check the refrigerant level, check the condensate drain "when in cooling mode." For your part, this is when the coil rinse pays off before the unit starts sweating for a living.
Fall (SeptemberβNovember, per Bryant). Pre-heating-season tune-up, and the one with a heat-pump-specific item most checklists omit: Trane's pro list includes checking the defrost control operation, in the fall only. You want the defrost cycle proven working before the first freezing rain, not during it. PickHVAC's tune-up list likewise includes a defrost cycle and reversing valve test.
Winter. The defrost cycle is supposed to handle the ordinary stuff. Trane is explicit: "The heat pump defrost cycle will deal with minor icing" β the check-and-clear job is about heavy snowfall. When snow or ice is genuinely blocking airflow, EnergySage's procedure is to temporarily power the system off or switch it to emergency heat, then carefully brush the buildup away or melt it with a water rinse. PickHVAC's reminder is to clear snow from around and above the unit, since the top is where most people forget to shovel.
Bryant's red line, printed here because it's a manufacturer talking: ice on the outdoor unit "requires immediate professional service to prevent serious damage." Frost that the defrost cycle clears is normal. An ice block that persists is a call, not a chisel.
What a Professional Tune-Up Actually Includes
"Maintenance" on an invoice is a compressed list; here is what the checklists actually cover.
Trane's dealer checklist is the fullest one we fetched: inspect ducts, filters, blower, condenser fan motor, indoor and outdoor coils for dirt and obstructions; clean coils as needed; confirm adequate airflow; check refrigerant levels and check for refrigerant leaks, replacing lost refrigerant; inspect the reversing valve; check the defrost control in fall; inspect, clean, and tighten electric terminals and apply a non-conductive coating; lubricate motors and inspect belts; verify the heating and cooling lockout controls; clear the base-pan drain holes; verify sensors.
ENERGY STAR's version of the annual pro visit adds the instrumentation: tighten electrical connections and measure voltage and current on motors, and lubricate moving parts, because "parts that lack lubrication cause friction in motors and increases the amount of electricity you use." It also covers thermostat settings, system controls, and the start cycle.
Bryant's visit runs the unit in both heat and cool mode, checks the charge in both (the dual-mode point from the top of this article), inspects capacitors, contactors, and wiring, checks condensate drainage, and hoses down the condensing coils.
PickHVAC's full-tune-up description is the most numbers-minded: refrigerant charge measured as superheat and subcooling against the manufacturer's charts, airflow and temperature-split measurement, defrost and reversing-valve test, electrical tests, condensate cleaning, safety-control check, plus two items that rarely make it onto invoices β re-insulating the suction line and treating biological growth in the drain pan.
Once a year or twice? The sources split
Print the disagreement, then decide:
- Twice a year β Trane, Bryant, and HVAC.com, all reasoning from the year-round duty cycle.
- At least once a year β ENERGY STAR, EnergySage, and PickHVAC's stated minimum. PickHVAC: "For homes with mild use, a single annual tune-up may suffice." ENERGY STAR's own wording, annual "pre-season check-upsβ¦ in the spring andβ¦ the fall," honestly straddles both camps.
- EnergySage adds a floor underneath the floor: even if you do most of the DIY work yourself, a licensed professional should inspect the system every two to three years to check refrigerant levels β "that's not a DIY task." And its warranty warning is worth reading in your own unit's paperwork: "Some system warranties even require it."
If your heat pump is your only heating and cooling, the twice-a-year camp is arguing your case. If it's a mini-split in a mild climate used occasionally, one pre-season visit is a defensible read of the same evidence.

Four fetched sources give four overlapping ranges for a single professional tune-up. Here they all are, unsmoothed:

The honest summary: a single tune-up runs roughly $75β$300 depending on region and scope, and annual plans run $150β$500 and typically buy two visits, priority scheduling, and sometimes parts discounts. A plan makes sense if the second visit is one you'd book anyway or if the priority scheduling matters to you in a January emergency; it's a convenience product as much as a maintenance one.
One cost note that cuts against the upsell, and we give FilterBuy credit for it: refrigerant doesn't run out like gas in a tank. A recharge every few years is not routine maintenance β a low charge means a leak, and the leak is the thing to fix.
Where DIY Ends: The EPA Section 608 Line
There is a legal boundary around this equipment, and it is worth knowing precisely because most homeowner guides state it vaguely ("call a pro for refrigerant stuff") without the reason.
Under Section 608 of the Clean Air Act (40 CFR Part 82, Subpart F), technicians who "maintain, service, repair, or dispose of" equipment that could release refrigerants into the atmosphere must be EPA-certified. The rule also prohibits anyone from intentionally venting ozone-depleting refrigerants and their substitutes, including the HFCs in modern units, while servicing that equipment.
The practical part for you, in EPA's own words, from its Homeowners and Consumers FAQ:
"May I purchase my own refrigerant to recharge my appliance? β Section 608 Certification is required to recharge appliances. Refrigerant for stationary appliances is only sold to certified technicians or the companies that employ them."
That sales restriction is why "just buy a can" isn't an option even if you wanted to ignore the rest. The same FAQ draws the boundary of the sealed circuit, saying certification is required for activities "could reasonably be expected to violate the integrity of the refrigeration circuit," and lists them: attaching or detaching hoses and gauges; adding or removing refrigerant; adding or removing components; and cutting the refrigerant line. Notice the first one. Hooking up a gauge set is already the regulated act β you don't have to actually let any refrigerant out to be on the wrong side of the line. EPA's service practice requirements add that technicians must evacuate equipment to established vacuum levels with certified recovery equipment before opening it, which is another reason the circuit is not a Saturday project.
Trade language says the same thing more bluntly. PickHVAC: "Only certified technicians may connect gauges, add refrigerant, or open the sealed system." EnergySage: checking refrigerant levels is "not a DIY task."
Everything else on your DIY table β filters, hose-rinsing the outdoor coil with the power off, clearing debris and snow, flushing the condensate drain, registers, thermostats, visual inspection β never touches the sealed circuit, so none of it needs a card. EPA's Homeowners and Consumers FAQ actively expects that baseline: "The most important thing an equipment owner can do is to maintain their AC unit properly, because appropriate servicing minimizes potential environmental damage and prolongs the life of the system."
Two consumer-protection moves from the same EPA material, worth stealing on your next service call: ask to see the technician's Section 608 certification card, and "request that service technicians locate and repair leaks instead of 'topping off' leaking systems." A truck that just tops off is billing you for the same leak every year.
What Neglect Costs
Now the argument the whole schedule exists for, with only numbers our fetched sources actually print.
The verified floor comes from ENERGY STAR: airflow problems can reduce a system's efficiency by up to 15 percent. Dirty coils "reduce the system's ability to cool your home and cause the system to run longer, increasing energy costs and reducing the life of the equipment." A dirty filter "can increase energy costs and damage your equipment, leading to early failure." And skipping lubrication "increases the amount of electricity you use."
You've probably seen the bigger claim: that a well-maintained heat pump uses 10β25% less energy than a neglected one. It traces to the Department of Energy, and we fetched nothing to prove it β DOE's Energy Saver heat-pump page returned a 404 on research day, so the figure appears here only as the DOE's, as cited by EnergySage. We print it with the attribution because that's all the honesty it can survive. Similarly, ACCA, the installation-standard body, cites a NIST research report finding that not following its 5 QI standard "can increase annual energy consumption by 30% or more" β but that study is about installation faults, not filter neglect, and deserves to be quoted with that caveat attached.
The manufacturers describe the decay in years, not percentages. Trane: a heat pump "can last about 15 years, but it can last longer with regular maintenance." PickHVAC: "With routine care, many heat pumps deliver 12β15 years of service lifeβ¦ Neglect accelerates failures of capacitors, contactors, and compressors, and can lead to costly refrigerant repairs." Bryant: "Neglecting routine service can lead to reduced airflow, higher energy consumption, and premature system failure."

Two numbers circulate that come from vendors with merchandise to move, so they're labeled as such and you can discount accordingly. FilterBuy, a filter retailer, claims a heat pump on a neglected filter "wastes up to a quarter of its energy" and that neglected systems "often need full system replacement 5-8 years earlier" β unsourced vendor estimates, take the direction, squint at the magnitude. Its anecdote of a $900 compressor bill after filter neglect at least has the decency to be a story instead of a statistic. EnergySage, from installer feedback on its platform, says "at least a third of all service calls can be resolved simply by replacing a dirty or clogged filter."
The failure chain matters more than any single percentage, and every source describes a link of it: a dirty filter restricts airflow, the blower and compressor strain against the restriction, dirty coils compound it by choking heat transfer, the system runs longer to hit setpoint, the bill rises, and the long run-times eat the capacitor, the contactor, and eventually the compressor. The one-sentence version
Check the filter monthly, give the outdoor unit two feet of air and a hose rinse when it looks dirty, book a pro visit each season your heat pump works hard (once is the stated minimum, twice is the manufacturer recommendation), keep every dollar figure in mind knowing an emergency repair on a skipped machine runs $300–$1,500+, and leave the sealed refrigerant circuit to the person with the EPA card — legally, they're the only ones who can even buy the refrigerant.
Frequently Asked Questions
How often should a heat pump be professionally serviced?
At least once a year, which is the stated minimum from ENERGY STAR, EnergySage, and PickHVAC. Twice a year (spring and fall) is what Trane, Bryant, and HVAC.com recommend, because a heat pump doing both heating and cooling never sits idle long enough to earn a break. Mild-climate homes with light use can reasonably hold the once-a-year line; PickHVAC says so explicitly.
Can I top off the refrigerant myself?
No. Under EPA Section 608, refrigerant for stationary appliances is sold only to certified technicians or the companies employing them, and certification is required for anything that opens the sealed circuit β including simply attaching gauge hoses. A low charge also isn't a normal consumable event: refrigerant doesn't get used up, so low refrigerant means a leak. EPA's own guidance is to have technicians locate and repair leaks rather than top off a leaking system.
Is ice on the outdoor unit normal?
Minor frost, yes β Trane says the defrost cycle handles that. What isn't normal is buildup heavy enough to block airflow or ice that won't clear. EnergySage's response to a blockage: temporarily power the system off or run emergency heat while you brush or melt the buildup. Bryant goes further, treating ice on the outdoor unit as a condition that "requires immediate professional service to prevent serious damage." Persistent ice is a defrost-cycle or refrigerant symptom, which is a pro visit.
What does "emergency heat" do, and when should I use it?
Emergency heat is electric resistance heating β the strip-heat equivalent of a toaster β and EnergySage calls it "the least efficient option" on the system. Legitimate uses are brief: powering through while you clear snow off the unit, or holding the house warm while you wait for a repair. Running on it routinely is, in EnergySage's words, "a signal to call a technician," and it will show up in your bill before anything else does.
How often should I really replace the filter?
Check monthly, replace when dirty, and let the filter type set the interval. Thin 1-inch filters land in the 30β60 day band (ENERGY STAR and EnergySage say monthly for disposables; Trane allows up to 90 days). Thick 4β5-inch media filters run three to six months by EnergySage's and PickHVAC's numbers. Washable mini-split filters get pulled and cleaned monthly. Pets and dust push every interval shorter; HVAC.com's "or according to the manufacturer's guidelines" is the tiebreaker.
Is a maintenance plan worth the money?
The arithmetic is simple. Plans run $150β$500 a year (PickHVAC $150β$400, FilterBuy $150β$500), typically for two visits, priority scheduling, and sometimes parts discounts β roughly the price of two standalone tune-ups at $75β$300 each, with the priority dispatch thrown in. If you'd book both visits anyway and live somewhere a January failure is miserable, the plan pays for itself in scheduling. If you're genuinely a once-a-year house, paying for a plan is buying a second visit you may not use.
